How much does it cost to organise a corporate event? Venuesin has the answer in seconds
One of the questions that most frequently reaches Venuesin does not come from someone who has already decided to hold an event. It comes from someone who is still thinking about it, who received an internal challenge, who needs to put a number into a budget before making any decision. The question is simple: how much is this going to cost?
For years, answering that question required time, email exchanges and waiting. In November 2025, Venuesin changed that with the launch of Portugal’s first intelligent corporate event cost calculator, a tool developed in-house using artificial intelligence that delivers a personalised estimate in seconds.
The problem the calculator solves
Anyone who organises corporate events regularly knows the moment well. Management asks for an event next quarter and the first thing you need to answer is how much it will cost. But without a proposal in hand, without having spoken to any suppliers, without even knowing the venue yet, that answer is very difficult to give with confidence.
That is precisely the moment the calculator was built for. It does not replace a detailed proposal, it does not lock in prices and it commits no one, but it provides a first realistic picture of the investment required for an event with specific characteristics, before any formal process begins. As Rodrigo Nené, co-founder and general manager of Venuesin, explains, the goal is to make planning a corporate event a simple, transparent and efficient process, giving companies a reliable and immediate estimate that saves time and makes decision-making easier.
How it works
The user accesses the calculator at venuesin.pt/calculadora and answers a set of parameters: the type of event they want to hold, the number of participants, the location, whether accommodation is needed, what kind of catering they have in mind and what additional services they want to include. Based on these variables, the calculator generates a personalised cost estimate.
Behind this tool is an AI model developed entirely in-house, trained on real data from hundreds of commercial proposals produced by the Venuesin team over years of activity. The model analyses patterns and variables from past events to calculate an estimate that reflects real Portuguese market prices, not theoretical values or generic averages.
Uptake of the tool was immediate and revealed an interesting pattern: many companies used the calculator precisely during the period when they were preparing budgets for the following year, which clearly demonstrates the kind of need it was built to address. Having a credible estimate before any internal approval process is a genuine advantage for anyone who needs to justify event investment to financial or senior management.
A tool built by people who know the market from the inside
What sets this calculator apart from any generic cost estimation tool is precisely the origin of the data behind it. Since 2019, Venuesin has accumulated a substantial volume of commercial proposals for events of the most varied types and sizes, held across the whole of Portugal. It is that real data, from location to catering, from number of participants to venue type, that informs the AI model and makes the estimates credible for the Portuguese market.
That difference matters. A generic calculator might produce a range of values that bears no relation to actual prices in Portugal. Venuesin’s calculator draws on hundreds of real events to arrive at an estimate that marketing and HR professionals can use with confidence in a budget approval meeting.
AI in the events industry: much more than a calculator
The launch of this tool is also a signal of the direction Venuesin is taking with technology. The calculator is the most visible application, but the vision is broader: artificial intelligence as an ally of sales and event management teams, freeing them from repetitive, low-value tasks so they can focus on what actually makes a difference.
Among the tasks with the greatest potential for automation, Rodrigo Nené identifies handling the volume of emails generated by each event, automatic follow-ups with partners, efficient management of operational team communications and invoicing management. These are tasks that consume time and attention but do not require the human judgment that the strategic and creative phases of an event demand.
This perspective positions Venuesin in a particular way in the market: not as a company that uses AI to appear modern, but as a company that integrates technology with a concrete purpose, making the event planning process faster, more transparent and less dependent on long request-and-response cycles.
Try it before you commit
If you are planning an event for your company and need a sense of the investment before submitting a formal request, the calculator is available at venuesin.pt/calculadora.
